A customer database, or a profile database, is a database that contains all the information about your customers. You can create an unlimited number of profile databases.

You need at least one database to work with the platform. 

## How to create profile database in Altcraft Platform

To build a database, select «Data» → «Profile databases» in the main menu. After that, click «Create» at the top of the screen:

### Step 1. General settings

**1. Enter the name and description of a profile database**

Description is optional, but sometimes it can be useful. State which customers should be in this database. This information will come in handy if you work in a team. It will be easier for your colleagues to get involved in the workflow. 

**2. Create a group**

Groups allow you to differentiate the work of different departments in your organization. If someone wants to change something in a group, this person needs to have access to do it. Thus, by creating groups, you restrict access to a certain database for users of other groups.

**3. Add tags**

Later, you will be able to use tags to quickly search for the profile database you need at the moment.

**4. Enter the title and language of the subscription manager**

Subscription manager is a special page where a subscriber can view their subscriptions to certain newsletters.

**5. Specify the attached suppression list**

If you want to exclude some recipients from your newsletter, add their contact details to a suppression list. When you select a necessary suppression list from the drop-down menu, messages will not be sent to the email addresses, domains and phone numbers that are specified there. 

Suppression lists are created separately. Only the global stop list is available to you by default. 

**6. Add resources**

A [**resource**](https://altcraft.com/help-center/get-started/what-is-a-resource-and-how-to-configure-it)  is a means of organizing subscriptions to certain content via special communication channels. A profile that is subscribed to some resource will regularly receive newsletters from it.

A resource can represent any channel to which the profile is subscribed:

- a website, 
- a mobile app, 
- a separate web page, 
- a contact data collection form, 
- a separate product, 
- an online or offline special offer. 

**Example of a resource**

Let's create a separate resource for everyone who wants to get notifications about new blog articles. Let's call it «Blog Subscribers». When a new person subscribes to your blog, their data will immediately get into the resource. Thus, every time we send our newsletter to all subscribers of this resource, every new subscriber will also receive it.

If you have not created a resource yet, leave the field empty. The database settings can be updated at any moment. 

**7. Watchers database**

You can activate this option if you want the profiles of the database to be able to monitor your campaigns. You can also add your employees' profiles there. They will receive the same newsletter as the other subscribers. This way you can make sure that your messages are delivered on time, displayed correctly and [**do not get into spam**](https://altcraft.com/blog/how-to-avoid-spam-folder-in-gmail).

### Step 2. Default and custom fields

A field is a special area where profile data is recorded and stored. Fields are used during data import and data export. Fields data are displayed in a customer's digital profile.

First, create default fields. These fields are used to record the most requested information about your customer: their name, email, phone number, date of birth, gender, etc. Default fields are fixed in the platform. It means that they cannot be deleted, their names and data type cannot be changed.

As for custom fields, there are no restrictions here. These are your own fields that you can add and customize according to the requirements of your project. For example, you can add a *CRM ID* field to integrate the platform with a CRM system or *Loyalty Score* field to score potential customers.

### Step 3. From email and Reply-to settings

Now let's configure the email:

Specify the **from name** and **from email**. This is the information on your company that your subscriber will see in the received email.

As for email settings for getting feedback, you can leave these fields empty. In this case, if your subscriber wants to reply to your email, they will send their response to the sender's email address. If you want replies to be sent to another email address, specify it in a certain field.

### Step 4. Confirmation and saving

Go back to the top of the page. Tick the box to confirm that all email addresses that have been added to the database agree to receive newsletters from your company. Then click «Save»:

Congratulations, you have created your first database. Now you need to import customers' data.

1. Go to «Profile Databases» and click «Create». 
2. Enter the name of the profile database and describe it briefly.
3. Create groups to restrict access and add tags for quick search if it is necessary. 
4. Enter the title and language of the subscription manager. 
5. Attach a stop list if you want to exclude certain profiles from your newsletter. 
6. Select resources. The database will be linked to these resources. Only those clients who have subscriptions to the specified resources will receive your newsletter. 
7. Configure standard and additional fields. Profile data will be put there. 
8. Select the sender's address and address for feedback. 
9. Save the profile database.

## What is a resource?

A **resource** is a means of organizing customers' subscriptions to certain content via special communication channels.

Imagine it as a virtual container that can store each customer's subscription to some content. You can send this content via the channels configured for the resource. There are several digital channels for communication with your subscribers: email, SMS, push notifications, Telegram or a channel of your own.

A resource can represent:

- a web site,
- a mobile app,
- a separate web page,
- a contact data collection form,
- a separate product,
- an online or offline special offer.

### Examples of resources

### How does it work?

1. A customer performs some action that presupposes further communication with your company.
2. If this customer is a new one, their data gets into your database, and their digital profile is created automatically.
3. This profile gets a subscription to the resource.

For example, if a customer subscribes to the newsletter of new blog articles, they immediately get into the «Blog» resource. So, when you notify your customers who have a subscription to this resource about a new article, this new customer gets the newsletter as well.

A customer can be subscribed to multiple resources.

Subscriptions to different resources are not linked. Your customer can unsubscribe from one resource, and all other subscriptions will remain. Thus, it is up to a subscriber what kind of content they want to consume.

For example, a customer is subscribed to three resources: promotional newsletters, blog digests, transactional notifications. After a while, this customer unsubscribes from promotional newsletters, but their subscriptions to your blog and transactional notifications remain. This mechanism increases the chance of retaining a prospective customer.

## How to create a resource?

Select the relevant section in the navigation menu. Then click «**Create**» at the top of the screen:

### Step 1. Subscription channel

Select the channels to communicate with subscribers of this resource. The following channels are available:

- Email
- SMS
- Push notifications
- Telegram Bot
- Telegram Group

You can also create your own channel. If you want to do this, you should contact the platform administrator.

### Step 2. General settings

**1. Specify the resource name and describe the resource**

**4. Select databases**

Add only those [**databases**](https://altcraft.com/help-center/get-started/how-to-create-a-customer-database) whose profiles you want to subscribe to a certain resource.

**5. Specify the URL of the website, forms or apps**

Enter the URL of the resource source. You can use your website, mobile app or URL of the form page as a source. You can add an additional URL if there are several sources.

**6. Enter the default tracking domain**

Tracking domain is a special domain for tracking your subscribers' activity. A tracking domain is attached to all links in a message. This way you can find out whether your subscriber opened your email and read it. You can also track which links they clicked. Usually a tracking domain is a subdomain of your main domain. It looks like this: trk.yourdomainname.com.

**Step 3. Channel settings**

You can create several channels for communication with your subscribers in one resource. To add an additional channel, click on the **+** icon:

If you are planning to send emails to your subscribers, add an email channel to the resource. Enter the sender's name and email address. Here you can see how they will be displayed in the email that your customer will receive:

If newsletters on this resource involve subscribers' feedback, specify the name and address to receive it.

**SMS channel**

If you want to send text messages to your subscribers, add an SMS channel to the resource and enter Caller ID.

Caller ID should be coordinated with your SMS provider, otherwise the provider's name is used.

**Push channel**

Add a Push channel to send push notifications from your website or mobile app to your subscribers. Select the necessary platforms and providers. You can see the available services for push notifications in the table below:

**Telegram Bot Channel**

If you want to communicate with your subscribers via a Telegram Bot, activate a Telegram Bot channel. Specify this Bot token provided by Telegram messenger.

**Telegram Group Channel**

Are you going to communicate with your subscribers in a Telegram group chat? Add a Telegram Group channel. Here, besides the Telegram Bot token, you also need to specify a group chat or channel ID.

### Step 4. Saving

If you want to save a new resource, click «Save» in the upper panel of the platform.

If you only want to apply the changes you have just made, but not close the current window to work with the resource, click «Apply».
Now you can launch your first newsletter.

## Check list

1.    Go to the «Resources» section and click «Create».
2.    Select the main channel to communicate with your subscribers: email, SMS, push notifications, Telegram.
3.    Enter the resource name and give a brief description of this resource.
4.    Create groups to restrict access and add tags for quick search if it is necessary.
5.    Introduce a sending policy if you want to restrict the number of messages sent to one recipient during a certain period of time.
6.    Specify a source of the resource: the URL of the website, form or app.
7.    Use a tracking domain to track the subscribers' activity: whether they click the links in your emails.
8.    Add and configure additional channels to communicate with your subscribers.
9.    Save the resource.

What is a resource and how to configure it

Before creating an email newsletter, you need to set up a domain from which you will send emails.

Free domains, such as *@yandex.ru*, *@gmail.com* или *@mail.ru*, cannot be used to send out newsletters. You need a corporate domain, i.e. an email address on the domain of your company.

For example, you can purchase the business.com domain and create a corporate email (*@business.com*) for it. Now you can send out email newsletters from this domain. One domain can have several different email addresses: support@business.com, contact@business.com, etc.

When creating an email template, you can specify any of these addresses as the sender. This address will be visible to the recipient:

## Email authentication

The first thing to do after purchasing a domain is to confirm your rights to it. Only this way you can complete the email authentication procedure from the email server. Without this, your emails can easily go to Spam.

Authentication consists of setting up SPF, DKIM, and DMARC on the DNS server of your domain. You need to go to the domain control panel and add several TXT records there. This section is usually called «DNS settings».

### What is email authentication for?

- Setting up SPF, DKIM, DMARC will protect your subscribers from phishing attacks from your domain.
- It also improves the reputation of your domain and deliverability of emails.
- Without authentication, you cannot enable statistics in postmaster.

### What is SPF?

SPF (Sender Policy Framework) is a TXT record with a list of IP addresses that you allow to send emails from your domain.

We recommend that you prohibit sending out emails from all IP addresses that are not listed in SPF. To do this, you need to enter records of different versions:

The *spf.aksend.net* domain contains an up-to-date list of Altcraft Platform senders' IP addresses.

If you use your sender domain for sending campaigns, then specify which SPF records already exist and add "include:spf.aksend.net" to them.

### What is DKIM?

The DKIM (Domain Keys Identified Mail) technology adds a digital signature to the email so that email providers can make sure that it is sent from your domain.

DKIM stores two encryption keys - private and public. The private one is used to sign emails. It is known only to the sender. The public one is added to the DNS records as a TXT file.

DKIM verification is conducted automatically on the recipient's side. If the domain is not authorized to send emails, your email may be marked as suspicious or placed in spam, depending on the recipient's policy.

You need to enter the following records (the Altcraft ak key is used):

XXXXXXXXXX is a unique code generated in the Altcraft Platform admin panel. We can help you to create a personal key - contact team@altcraft.com specifying the domain name.

### What is DMARC?

DMARC (Domain-based Message Authentication, Reporting and Conformance) is a policy where you specify what to do with emails if something is wrong with SPF and DKIM records.
We recommend that you set rules prohibiting receiving emails from outside IP addresses or incorrectly signed emails.

### What is BIMI?

BIMI (Brand Indicators for Message Identification) is a means of identifying the sender that adds the brand logo to the newsletter.

BIMI provides the email service with an additional prompt for the correct identification of the sender to protect users from phishing and spam. If the identification is successful, the customer is more likely to receive your email. Besides, customers will trust the letter if they see a familiar logo.

To use this technology, you need to specify the path to a file in svg format. The image must be square and have no additional layers.

Create the following record in the domain settings:

### Domain for tracking actions

A tracking domain is a domain for tracking subscriber activity. It helps you to find out whether your subscriber opens your emails, reads them, which links they follow, etc.

It is usually a subdomain of the main one; it looks like this trk.domainname.com.

Make the following record on the subdomain:

How to set up a domain

Importing customers is uploading your customers' data to one of the Altcraft profile databases. As soon as you save a new database, the import page will open:

How to import customer data into a database

Importing customer data is the next step after creating a [**profile database**](https://altcraft.com/help-center/get-started/how-to-create-a-customer-database).

The easiest way to upload customer data to your database is to manually create their digital profile and enter all available information there.

## Step 1. Select «Manual» import.

You will see a special form to fill out a digital profile:

## Step 2. Enter the data available to you about this customer.

There are five tabs in the profile information:

- **Personal**: name, surname, date of birth, gender
- **Contact**: phone numbers, email
- **Registration**: date, IP address, city, country, link, provider
- **Tracked**: IP address, city, country, region, postal code, time zone
- **Additional fields**

All the specified fields correspond with the previously configured default and custom ones. Required fields are marked with an asterisk.

## Step 3. Add subscriptions

The «Subscriptions» tab is located below. Click «Add subscription» to subscribe a profile to some [**resource**](https://altcraft.com/help-center/get-started/what-is-a-resource-and-how-to-configure-it) right at the moment of import. You will see a new window:

If the "Add subscription" button is inactive, most likely you have not linked any resource to the database yet. Go to the [**database settings**](https://altcraft.com/help-center/get-started/how-to-create-a-customer-database) and add the necessary resources.

Select the resource and channel, then click «Add». The profile will get a subscription to the resource. 

Provide contact details. For example, if you have selected an email channel for communication, enter the customer's email address. You can also set the [**subscription status**](https://altcraft.com/help-center/manage-customer-database/customer-profile-status) and priority for the selected resource.

Other sections cannot be edited at the moment of profile creation.

## Step 4. Save the profile

Click «Save» in the upper panel to save the profile and leave the edit page. If you want to save the changes you have just made, but not close the page, click «Apply».

When you hover the mouse cursor over one of these buttons, you will be prompted to activate two additional options:

- **Do not activate triggers connected with this activity**: the new profile will not receive any trigger messages right after you import it into the database.
- **Track geolocation by Reg IP/IP**: at the moment of data import your customer's geolocation can be tracked automatically by the data in the Reg IP fields (registration IP address) or IP (the last known IP address).

The creation of a customer profile in the database is complete. Now you can send them [**your newsletter**](https://altcraft.com/help-center/marketing-campaigns/how-to-launch-a-broadcast-campaign).

Import customer data into the database by manually filling out their digital profiles. Enter email, phone number and basic information about the client.

How to Manually Upload Customer Data in Altcraft Platform

If you need to upload a large amount of customer data to your database, we suggest that you use import from a file.

To begin with, open the import window and select «**File**»:

## Step 1. Add a customer data file

To add a new file, click on the download area and select the file on your device. Another way is to drag the file with the mouse.

You can upload several files at a time. If you want to delete some file, click the exit button next to its name:

## Step 2. Configure the file

The window for configuring the file is as follows:

**1. Select the profile search mode**

You are probably uploading customer data to a new and empty [**database**](https://altcraft.com/help-center/get-started/how-to-create-a-customer-database) right now, but later you will need to update this data.

The [**profile search mode**](https://altcraft.com/help-center/manage-customer-database/matching-or-profile-search-mode) is specified exactly for this. This is how you inform the platform which data you will need in the future when updating pre-existing profiles.

For example, if you select **email**, then during the update, the platform will compare the email addresses of customers that you are currently uploading with those that are already in the database. If it finds a match, it will update the data. If a customer with such an email address is not in the database, the platform will create a new profile.

**2. Add a subscription**

Select the [**resource**](https://altcraft.com/help-center/get-started/what-is-a-resource-and-how-to-configure-it) to which you want to subscribe all imported customers. To do this, click «Add a subscription». Specify:

- a **resource** to subscribe profiles to;
- a **channel** to communicate with subscribers;
- [**subscription status**](https://altcraft.com/help-center/manage-customer-database/customer-profile-status);
- **the source of subscription**: it is a column in the file that contains the contact details for a certain communication channel.

**3. Link the column in the database to the source column**

Match the columns in the file with the database fields. The data from the file will be recorded in the selected database field.

Altcraft Platform can do it itself if the names of the columns in the database and in the source are the same.

For example, in our case, the **Email** column in the file matches the **Email** field in the database, but Altcraft Platform did not manage to find a match for the **First Name** and **Last Name** columns. It means that you will have to configure these fields manually.

To do this, click on the necessary column in the database and select the one you need at the moment. «**FirstName**» is for the First Name column and «**LastName**» is for the Last Name column. Each column displays the first entry, so you will easily understand which type of data you need to record in there.

If you are not going to add data from some column of the field to the database column, select the option «**Skip**» or delete the column by clicking the exit button on the right side of the table.

Sometimes you do not have complete data on each client. For example, you do not know a person's first name or date of birth. In this case, select the option «**Ignore empty**». Altcraft Platform will transfer the data that you have and will not bother you with notifications about empty columns.

As for the option «**Skip lines**», here you need to select the number of lines in the file that do not apply to profile data. That is why they can be skipped during import. For example, if the first line of the table contains column headings, skip one line.

## Step 3. Specify the import details

**1. Are you adding new customers to the database or updating the data of existing ones?**

- Add new customers and update existing ones
- Only add new customers, do not update existing ones
- Only update existing customers, do not add new ones

- **Do not activate triggers connected with this activity** — usual scripts and trigger campaigns will not be activated.
- **Track geolocation by Reg IP/IP** — when you transfer data to the Reg IP or IP fields, Altcraft Platform will automatically:
    - track the customer's location,
    - fill in the profile fields: Country, City or Country reg. and City reg.,
    - mark the customer's location on the map widget.
- **Resubscribe users regardless of their current subscription status** — the [**global status**](https://altcraft.com/help-center/manage-customer-database/customer-profile-status) of all imported profiles will change to «Subscribed».
- **Create a static segment according to the results of the import** — all imported profiles will get into an automatically created static segment.

## Step 4. Import

Click «**Import**» in the upper panel to start the process. You can view its current status in the «**Tasks**» section.

When the import is completed, you will see the number of customers that have been added, updated or declined. Besides, you will see the most frequent errors.

Nowadays, marketers use different channels to interact with their customers:

- offline interaction: face-to-face and telephone consultations;
- online communication: email, SMS and push notifications, messengers and social networks, chatbots, mobile applications, and websites.

There may be dozens of such touchpoints, and each of them provides new data about customers. How to organize all this data?

[**Being a CDP**](/features/cdp), Altcraft Platform identifies the user through any channel of interaction and consolidates customer data in a single profile.

A digital profile is generated for each customer who enters the [**database**](https://altcraft.com/help-center/get-started/how-to-create-a-customer-database). It is a page that displays customer data and their participation in marketing campaigns.

## How to view a customer profile

Go to the «Profiles databases» section and click the icon that represents a database that contains a customer you are looking for.

You will see a list of all customers in this database. Select one of them by clicking on the first and last name.

## How to work with a digital profile

You can upload the customer's avatar and download their personal data:

Profile data is divided into 6 tabs:

1. **Main**: the most frequently used profile information
2. **Personal**: demographic data (first name, last name, date of birth, gender)
3. **Contact details**: telephone numbers, email addresses
4. **Registration**: opt-in information confirming the legitimacy of communication (date, IP address, city, country, link, provider)
5. **Tracked**: data collected at the time of the customer's last activity (IP address, city, country, region, postcode, time zone)
6. **Additional fields**: custom database fields with business information

When you open a customer profile, the Main tab opens by default. Set up the fields displayed in it by clicking the icon in the upper right corner of the tab. You can also pin any of the tabs as the main one, or even create your own tab with information you need - just click the icon above and change the settings.

Besides, you can change the [**global status of the profile**](https://altcraft.com/help-center/manage-customer-database/customer-profile-status) manually. If you want to use this profile to test your newsletters, activate the «**Test subscriber**» option:

### Actions

This tab displays all the actions that can occur when sending a message to a subscriber:

- **Email/SMS/Push sent** (message sent to subscriber)
- **Email/SMS/Push delivered** (message successfully delivered)
- **Email/Push is opened** (subscriber opened your message)
- **Email/SMS/Push click** (subscriber clicked one of the links)
- **Email is seen** (email was opened for at least 12 seconds)
- **Email reply** (subscriber replied to your email)

The channel, the customer's contact details for communication through this channel (email address, phone number, and so on), [**subscription status**](https://altcraft.com/help-center/manage-customer-database/customer-profile-status), priority, and other information are specified for each resource.

You can edit profile subscriptions manually or create a new subscription by clicking «Add subscription».

**1. Latest activity**

Here you can see from which device and browser the profile last participated in your newsletter.

**2. Identifiers**

Each subscriber in Altcraft Platform receives a unique profile identifier (profile_id) for all databases. Each profile is also assigned unique MD5 and XXH identifiers.

The standard Email field is unique for the profile within a single database. However, this field is optional. If no email address is entered into the standard field when importing the profile, a system entry **profile_id@localhos** will be created.

**3. UTM**

UTM tags are updated in the customer profile if it was imported into the database after the customer filled out the form. These tags will help you to get detailed information about the traffic source. Please note that UTM tags are added only when you activate the «Update UTM data in the profile» option.

## Conclusion

A digital profile is a page that displays all information about the customer and their interactions with the company. It is automatically generated for each person whose data is in the database. A digital profile will help you to see the customer journey and personalize the sales strategy.

The digital profile contains up-to-date information about your customer and his interaction with the company: activity in campaigns, presence in segments and workflows, etc.

How to Create Customer Digital Profile in Altcraft Platform

You can use import via clipboard if you need to add a small number of profiles to the database by copying their data from various sources.

To import clients from the clipboard, select "Clipboard". A new window opens.

## Step 1: Enter customer data

There is a field with an instruction ***Just copy any data and paste it here***. So you should do it.

The first line is the table header. Enter the names of the fields whose data you want to import. For example: *Email,First Name,Last Name*. Put a comma after each column name omitting the spaces.

Let's move on. One line is one profile. Add the data of each profile, separating the fields with a comma, as in the header. For instance: *example1@example.com,Kelly,Griffin.*

Put a tick to activate the ***Do not start triggers related to this action*** option if you do not want these clients to receive trigger alerts after importing their data into the database.

Click ***Import*** and you switch to a new page, where the import form opens.

## Step 2. Configure the import.csv file

**import.csv** is a temporary file. It is created automatically to store data from the clipboard. Thus, the data you just entered is converted into a CSV table.

### 1. Choose the profiles matching mode

By setting the mode, you let the platform know what data you want to use in the future when updating profiles that are already in the database.  It can be email, phone number, ID, push subscription data, or any other custom field. This mechanism helps to avoid profile duplication when several profiles are created for one client at once.

For example, if you select ***email***, the platform compares the email addresses of clients that you upload with the addresses of clients that are already in the database when you update it. If the platform finds a match, it will update the client's data. If the client with a certain email address is not in the database, the platform creates a new profile for that client.

### 2. Add Subscriptions

Add subscriptions to the resource to all the profiles you import. To do this, click **"Add subscription"**. Select:

- **subscription resource** to which the profile should be subscribed;


- **channel** for communicating with the subscriber;


- **subscription status**;


- **contact data source** - this is the column on the clipboard where the contact data for a certain communication channel (e.g. *Email*) is stored.

### 3. Match a column in the database to a column in the source

Match the columns on the clipboard to the fields that are in the database. The data from the buffer column will be recorded in the selected database field.

**Altcraft** can do it itself if the names of the columns in the database and in the source are the same. The example below shows the case when the Email column in the buffer matches the *Email* field in the database, but **Altcraft** hasn't found a match for the ***FirstName*** and ***LastName*** columns, so we have to configure the fields manually.

To do this, click on the necessary column in the database and select the appropriate one manually. In the example below, the ***FirstName*** and ***LastName*** columns are appropriate for correctly recording the data. In each column the first record is displayed, so you can easily understand what type of data you are about to record.

If you are not going to add any column data from the buffer to a database column, select the ***Skip*** option or delete the column by clicking on the cross on the right side of the table.

The ***Ignore empty*** option is used when updating the already imported profiles. It comes in handy if you don't have any data on a certain client and therefore you left the field in the file empty. If the option is ticked, the platform will not update the value of the field in the database. That is, if a *test* value was recorded in the profile field, the same value will be saved after the update.

As for the ***Skip lines*** parameter, here you should select the number of rows in the buffer that are not profile data and, therefore, can be skipped during import. For example, in our case the first line is the header of the table, so we skip only one line.

## Step 3: Configure the details of the import

### 1. Adding new clients to the database or updating the data of old ones? Choose between:

- Add new leads and update existing ones

- Add new leads, do not update existing ones

- Update only

**Silent mode** — scenarios and trigger campaigns configured to start while importing the profiles won’t get started when ticked.

**Detect geolocation by Reg IP / IP** — when transferring data to the fields Reg IP or IP Altcraft can automatically 

- define the client’s location;

- fill in the fields of the profile *RegCountry* and *RegCity*;

- mark the customer’s location on the map widget.

**Resubscribe customer profiles regardless of their current subscription status** — the global status of all the newly imported profiles gets configured as *Subscribed*.

**Create a static segment from the results of this import** — all the profiles imported get into the automatically created segment.

## Step 4: Import the data

Click the ***import*** button on the top panel, and the task to import the profiles will be performed. You can watch the progress in the section ***Tasks***:

When the import is completed you can see the number of users that have been successfully imported, or updated, or considered as invalid. The errors are reported as well. Sometimes they can’t be avoided.


You can use import via clipboard if you need to add a small number of profiles to the database by copying their data from various sources.

## What is matching

**Matching**, or **profile search mode**, determines the data by which Altcraft Platform will search for existing profiles to update them. Every time you [**import profiles**](https://altcraft.com/help-center/create-customer-profiles/how-to-import-customer-data-from-a-file), you are offered to choose the search mode:

This mechanism allows you to update customer data and avoid duplicating profiles.

By default, the platform uses the «email» field to find the profile to update.
 
## Profile Search Modes

Profiles are searched by one of the profile fields:

## How does it work?

1. The search mode is specified when importing profiles. The search mode corresponds to one of the profile fields.
2. By this field, the platform searches for and compares existing profiles with imported ones.
3. If the field of the existing profile matches the field of the imported one, a new profile is not created.
4. In this case, the data of the existing profile is updated.

## Example

You create a database called «Prospective customers» and import 1000 profiles there. One of them is John Brown, whose email address is *brown@example.com*.

A month later, you decide to update this database: add new profiles there and update the data of existing ones. When configuring import, you specify «**by email, from profile or subscriptions**» as the profile search mode.

When you start importing, Altcraft Platform will search for existing profiles. Each profile will be compared to those that you are going to add to the database. The platform will carry out the search and comparison by the «email» profile field or by email addresses from subscriptions.

At a certain point, the platform will find John Brown's profile in the database, and the email *brown@example.com* will match the one in the profile that is being imported.

Altcraft Platform will not create another profile with the same email address. If the platform finds some new information on this profile, it will update John Brown's profile (e.g. date of birth, phone number, promo code, etc. will change). However, if all the imported data of this profile matches the information that already exists in the database, the profile will not be changed.

When you import a client profile into the database, you must specify the profile search mode for further updating. Find out how.

## What is profile status

Customers do not always agree to receive messages. Sometimes they unsubscribe from intrusive newsletters and even move uninformative incoming emails to a Spam folder. There are cases when marketers themselves need to stop sending emails to some subscribers.
Customer status will help you find out whether a person agreed to receive emails. The status determines whether it is possible to communicate with your customer through this or that channel.
 
## What is the difference between global status and subscription status

Each profile has several statuses: the global status and subscription statuses.

**Global status** determines the possibility of communication with your customer through any channel. Each profile that gets into the database has one:

When a profile subscribes to a specific [**resource**](https://altcraft.com/help-center/get-started/what-is-a-resource-and-how-to-configure-it), it also gets a subscription status. Each subscription has its status:

Subscription statuses depend on the global status. For example, a profile may have several active subscriptions, but the global status prohibits communication. In this case, you will **not be able to send messages** to this customer.

**1. What happens if I change the global profile status to «‎Unsubscribed»?**
 
Your customer will not receive your newsletters from any resource.
 
**2. I do not specify a resource when sending campaigns, I only use the database. The customer has unsubscribed from the messages. Why has the global status of their profile changed?** 

If a resource is not specified, the global profile status is used.

The status determines whether it is possible to communicate with your customer through this or that channel. You can change the subscription status for each resource.

How many emails are you going to get over a day from one company before you hit the unsubscribe button? Everyone has their own patience limit, but it is likely that after the fifth identical email, with a couple of SMS messages in addition to it, anyone will unsubscribe. And even if they don't, an innocent push notification would be the last straw. The case could not just be over with an unsubscription, but also with a spam complaint.

Of course, no marketing expert would be intentionally flooding a client's mailbox with junk emails. There's always a well-defined mailing plan based on marketing research.

However, sometimes there are situations when one subscriber, for whatever reason, receives too many messages within a short period of time. For example, this can happen if the marketing department pre-segments the target audience. There is a risk that the segments cross each other and several identical emails get sent to the same user. A sending policy can help keep that from happening.

Sending policies are set up by the master administrator. They can be applied to the entire account, to a certain resource, or to a particular campaign.

## How to set up the sending policy

**Step 1:** Open Settings → Sending Policies. Click the “Create” button on the toolbar at the top. In the general settings, specify the sending policy name. You can also optionally briefly describe its purpose:

**Step 2:** Specify the policy limits. Select the type of restriction, set the maximum number of messages and the time period. For example, maximum 2 messages per day.

The following types of limits are available:

- Limit sending to one recipient — any contacts and any subscriptions of the same profile are taken into account.

- Limit sending to one recipient via one resource — subscriptions of one profile to a particular resource are taken into account.

- Limit sending to one recipient via one channel — all the profile's subscriptions to all resources via one communication channel (email, sms, push) are taken into account.

- Limit sending to one contact (email address, phone number) — all subscriptions containing the same contact are taken into account. Note that subscriptions can belong to different profiles.

A policy where no restriction type is selected is unlimited. This policy comes in handy if you need to set a global limit within an account, but at the same time allow the resource or a campaign to provide unrestricted sending. Create an unlimited policy and assign it to the resource or the campaign to redefine the global settings.

**Step 3.** Select access groups, if required. You can set the sending policy only for resources and campaigns that belong to these groups.

## How to apply the sending policy

The sending policy can be applied:

- globally for the entire account
- within one resource
- for one particular campaign

The campaign policy gets the highest priority, while the whole account's sending policy gets the lowest one. In other words, the resource policy redefines the account policy, and the campaign policy redefines the resource policy.

### Within the entire account

The sending policy is applied to all campaigns in the account. To set a global policy for an account, go to Settings in the main menu → Account Settings and select a policy from this drop-down menu:

Suppose you're sending a newsletter on behalf of a bookstore with current month's novelties. The sample includes books in a variety of genres. You want to know your subscribers’ interests so that you could further personalize the newsletter. To do so, you need to track who clicked on a particular link. How to do this?

In the message template, each link has its attribute **name**. Set the unique attribute for books of the same genre. For example, for fantasy books it's name=”genre_fantasy”.

## 4. How do I find profiles that do not receive messages in any channel?

Sooner or later the contact data in the customer base becomes outdated: users may delete or abandon their mailboxes, change their phone numbers, or block push notifications. Sometimes subscribers mark emails as spam, or there are invalid email addresses that are initially added to the database. The campaign still sends messages to such users, but they are not delivered. Thus, it may have a negative impact on the sender’s reputation. For this reason, it is recommended to clean the database from time to time.

To understand which of your subscribers are out of communication at all, create a segment with several rules.

1. Email sent — does not exist.
2. SMS sent — does not exist.
3. Push sent — does not exist.

## 5. How do I find subscribers who don’t open the emails?

If you also want to clean the database of subscribers who recently haven't opened your messages, use segmentation with a selection by “**Email opened**” and “**Push opened**" and a selection condition of “**Not happened during last [x] days**”. ## 6. How do I see the subscribers who complained about the newsletter?
You've done a newsletter and found [**user complaints about spam**](https://altcraft.com/blog/how-to-avoid-spam-folder-in-gmail). Now you want to find out what exactly caused such a result. To do this, you need to find the users and the history of your interaction with them. Use a segment with several rules:
1. Selection by subscription to a resource with the selection condition of “**complainer**”.
2. Selection by email-openings with the selection condition of “**at least [n] times in a date range**”.

After the campaign is over, you go to the summary report and notice that the number of messages sent exceeds the number of messages delivered. Delivery failures can occur for a number of reasons: the recipient’s mailbox is full, the email address doesn’t exist, there are some problems on the mail server, spam filters are on, etc.

You need to find out to whom the message was not delivered. To do this, set up a segment with the selection by “**Email delivered**” and the condition “**Not happened during last [x] days within campaigns**”. Also, put a tick in the “**Message sent**” box.

## 8. How do I see the subscribers who didn't receive a campaign because of Hard bounce?

Hard bounce is [**the status of a subscription**](https://altcraft.com/help-center/manage-customer-database/customer-profile-status). Hard bounces occur when you try to send emails to non-existing email addresses. As soon as a profile gets this status, communication with it stops, i.e. campaigns stop sending messages to it. It’s better to delete such addresses from your customer base.

If you have launched a campaign and want to know which profiles didn’t receive the email because that email address doesn’t exist, create a segment with several rules:

1. Email is never delivered within the campaign, although it is sent. Specify the resource and the campaign.
2. Profile status is hardbounced.

## 9. How can I see which of the subscribers did not receive the campaign because of the Soft bounce?

Soft bounce is not a subscription status, but a non-delivery of an email due to temporary problems with the recipient’s address. Soft bounces occur if:

- the recipient’s mailbox is full;
- there are some technical problems on the recipient’s mail server;
- the email is too large (for instance, because of an attachment);
- spam filters block the email because many recipients flagged it as spam.

To find the subscribers who didn’t receive the email for one of these reasons, you should first create a segment of profiles with the profile settings marked as hardbounced. See the paragraph above to discover how to do it. Save this segment as a dynamic one. Name it as, for instance, "**Subscribers with the status Hardbounced**".

Then create a new segment with two rules:

1. Email is never delivered in the campaign, although it is sent. Specify the resource and the campaign.
2. Profiles are not in the segment "**Subscribers with the status Hardbounced**".

## 10. How do I see which countries my newsletters are sent to?

When a user opens an email or clicks the links, the tracking domain traces the user’s location based on the IP address. This information is recorded in the "**Reg country**" field. You can segment subscribers by the information in this field:

## What is a Template

A **message template** is the content that you send to subscribers in your [**campaigns**](https://altcraft.com/help-center/marketing-campaigns/kampaniya-kakoj-sposob-rassylki-vybrat). However, this doesn't mean that every time you want to start a campaign, you will have to spend time on creating a new template. You can create one template and use it in different campaigns for many years. The type of your newsletter doesn't matter here. It can be a broadcast, a trigger or a regular campaign. Moreover, you can use the same template in different communication channels: email, SMS, push, Telegram and so on.

## How to Create a Template

Select the «Templates» section in the main menu and then click «Create» on the top toolbar.

### Step 1. Select the sending channel

First you need to decide which channel you are going to use to send your template. For example, an HTML text for an email newsletter, a plain text for an SMS message and so on.

This channel will be the main one. You will create a template primarily for this channel. However, you can always add other channels for this template.

### Step 2. General settings

Specify the name of your template on the «Basic Settings» tab and briefly describe it. Set groups to restrict access and tags for quick search.

### Step 3. Set up content for a chosen channel

Type in your text for the email body. You need to type in the text for each sending channel separately. Therefore, if you are going to use this template in different channels, add them by clicking on the + icon:

3.1. If you create a template for an email newsletter, you can work with the HTML version of your email or use a visual editor.

3.2. If you need to create an SMS newsletter Just enter the text and leave a link. Follow this guide.

3.3. A push notification template should contain a title, an icon, a text and a link. You can also try our new editor for push notifications, which allows you to customize the display of notifications for each browser individually.

### Step 4. Set up dynamic content

Below in the «Options» section you can further customize the template.

If you are going to use dynamic content in your template, add a link to the JSON file with this content. This will allow you to add information to the message that will be generated on your server exactly at the moment each message is sent. This option will come in handy if you want to regularly send information that is updated daily (e.g. the current exchange rate or stock quotes).

### Step 6. Specify a suppression list

Select a suppression list and restrict sending to clients who are not interested in this type of content. If you don't want this template to be sent to those who have already unsubscribed from your newsletter, tick the corresponding box.

## How to add a link to the web version of an email

The link to the web version is automatically generated when the **{webversion}** variable is added to the href attribute of the ```<a>``` tag. The example of the code is like this:

As you can see, it's easy to make a link yourself. But if you suddenly forget the name of a variable or the attributes of a tag, and you do not want to deal with the documentation - use one of the following ways.
### **Option 1 - adding a link**

Go to the template editor. Place the cursor where you want to add the link. In the toolbar, click the icon for inserting links:

In the window that comes up, configure the link:

**Choose the URL type** — Web version link.

**Enter the title of the link** — this is what a user views in the email. For example, *View online version* or *View in a browser*.

You can create a link to the web version from the menu of variables. Open it by clicking </> on the toolbar. Select **Tracking → Web version link**.

**2. I don't have the web versions saved. How do I activate the option?**

The platform administrator should change the account settings, i.e., activate the "Enable email web versions" field. After that, links to view the web version of the sent message appear in the profile history.

**3. How long is the web version of the email kept?**

The default storage period for the web version of an email is 30 days. The storage period can be changed by the platform administrator in the account settings.

**4. Is the web version of the email saved if there is no link to the web version in the sent message template?**

No, if the link is not attached, the web version is not saved.

**5. Why are the messages sent in the profile history displayed differently: in one case the template has a *Preview* signature, in another case it has a *Web version*?**

The web version is formed for sent messages. The preview is available for other events related to the message - delivery, opening, clicking, reading.

**6. I can't see a preview of an email message that contains API content.**

API content is transferred via API request. Altcraft Platform does not save parameters transferred in API requests and does not substitute profile fields when previewing the message. To see how the sent message looks like, you need to add a link to the web version of the message. Later you'll be able to view web versions of sent emails in your profile history.

**7. Is dynamic content displayed in the message preview?**

No, but you can see the dynamic content in the web version of the email.

## Step 2. Design the email template.


Open the **“Templates”** section and [**create a new template**](https://altcraft.com/help-center/message-templates/how-to-create-a-message-template) for the email channel.


Personalize the message by adding dynamic variables, for example, the subscriber's name. To do this, open the variables list (</>) and select **From profile** → **First name**. This variable will automatically change the name in the email depending on the recipient of the message.

After you have designed the email, open the preview window and check that it is displayed correctly both in the desktop and mobile versions.

## Step 3. Set up a regular campaign.


Go to the **"Campaigns"** section and select **"Regular"**. ## How to create an automation scenario

Before you start setting up the scenario, you need to prepare the platform objects that you are going to use. Create and set up databases, resources, segments, templates, campaigns, promo codes, etc.

To create an automation scenario, open the «Scenarios» section in the main menu and then click «Create» in the upper panel.

### Step 1. General settings

Enter the name and a brief description of your scenario. Add custom tags for instant search and set access groups. Activate the scenario by clicking a toggle switch in the upper right corner:

Now you need to decide what you will do if the same customer gets into the scenario several times.

**Running the scenario for segment by schedule**

If you want the platform to automatically perform a sequence of actions for a certain group of audience, select the database and click «For segment by schedule»:

Set the time. The following schedule is available:

- Every day at the specified time
- Every day, several times a day
- On a certain date at the specified time
- On the specified days of the week of certain months at the specified time

Make up a segmentation request to group your audience.

A segment of customers will be dynamically calculated at each start. Optionally, you can set a percentage limit on the resulting sample.

Using such scenarios, you can organize a communication sequence for customers whose terms for the provision of services are about to expire. For example, the scenario below selects only those customers whose terms expire in two weeks:

### Step 3. Build a workflow

Visualize a customer journey by adding steps to the scenario. You can use the following elements:

- **Pause** — add a time period before the next step in the scenario.
- **Message** — send an email to your customer.
- **Placement** — run the placement campaign.
- **Condition** — segment your audience by adding a condition check.
- **API content filter** — transfer data via the API and use it to insert into your messages, return it to Action Hook, or set conditions.
- **Import into database** — add customer data to the database.
- **Static segments** — add a profile to the segment or delete it from there.

So, let's assume that the customer registered on the website and thus got into the scenario. The first step is a welcome email. Your customer receives it and proceeds to the next step — audience segmentation. The scenario checks whether the user has confirmed the subscription.

If the condition is fulfilled, this user gets a promo code for new customers. If the condition is not met (the user ignored the link), another action is triggered — an email reminder to confirm the subscription.

Depending on the further customer’s actions, the scenario can send another reminder to the user, but this time through the SMS channel. Thus, each customer who will be captured by your scenario will go through it step by step.

### Step 4. Analyze your scenario

You can analyze the effectiveness of your scenarios in the scenario editing form. As for detailed statistics on the campaigns that are involved in the scenario, you can find it in a summary report.

For a certain period, you can find the scenario data in the upper panel. There you can find the following information:

- the total number of profiles in the scenario
- the number of profiles that completed the scenario
- the number of profiles processed by the scenario
- a list of errors that occurred during operation

In the scenario, above each element, you can see the number of customers who are currently at this stage and how many of them have already moved on to the next one:

## How to create an welcome scenario

Let's create a welcome series for online store users.

### Step 1. Prepare email templates

Above, we have listed email types you can use for the first interaction. Their goal is to introduce your customer to the brand. You can send an email at a time or combine them in one email.

Let's create the following templates for online store users:

- Registration confirmation. Ask the user to confirm their email address to make sure that they really want to receive your newsletters.
- Thanks for registering. Send it after the user has confirmed registration. As a thank you, give your new subscriber a promo code for the first purchase. Also, add a list of popular products to your email.

### Step 2. Create and set up a new scenario

Go to «Scenarios» and click «Create» to add a new automation scenario to the platform:

Specify the database and event in «Setting up customer profile capture». Event is a trigger. When it is activated, the profile gets into the database. ### Step 3. Send an email to confirm registration

This step is usually associated with a double opt-in process.

This method helps to protect your database from inactive or invalid email addresses. If you send too many emails to inactive addresses, you risk losing your domain reputation. ## What is a tracking pixel

A tracking pixel is HTML or JavaScript code. It is placed on website pages to track user behavior. Pixel collects and enriches information about both registered users and potential ones.

**Information collected by a pixel:**

- Geodata — location and time zone of the user.
- Interests — information about pages the user visits on the website or in mobile application.
- The achievement of a specific goal on the website, in mobile application or in one of the communication channels (Email, SMS, Push).
- Information about the user's browser and operating system.

How Does It Work
1. Create a tracking pixel. Optionally, specify targeted actions that the pixel will record.
2. Add the pixel code to the desired website pages.
3. When the user visits such a page, the pixel is triggered:
- If you do not specify any goals, the platform records a pixel trigger event.
- If goals are set, the platform also records the achievement of the goal.
4. Pixel collects data about website users and transmits it to the platform:
- The information obtained is summarized and displayed in the goals report.
- If the platform recognizes a customer from the database in a website visitor, then the data received is entered into the platform. You can use it to start a trigger newsletter or segment your target audience.

## What is a targeted action

**A targeted action** is an action performed by a website visitor that led to a desired result for the company. Each marketer decides which actions will be considered targeted. This can be registration on the website, subscription to the newsletter, request, downloading a brochure, purchase.

Pixel records when the goal is achieved. You can select several targeted actions for each pixel and specify the value for each goal. Values can be calculated in points or cost.

## How to get started with pixels in Altcraft Platform

If you use On-Premise solution, ask the platform administrator to activate pixels: Administration panel → Account settings → the «Enable Pixel» field.

In the [**previous piece**](link), you learned that pixel is a code inserted into a website. By its means, you can learn which pages the user visited and thus record the performance of target actions. For example, registration on the website, product purchase, filling in the form, downloading a file, etc.
This piece contains information on how to create and configure tracking pixels.

**Step 1.** Select the «**Pixels**» section in the main menu. Then click «**Create**» in the upper panel.

**Step 2.** Type a name and description for the pixel. Set access groups.

**Step 3.** Select the database. The pixel will collect information on behaviour of the users whose data is in this database. If a new customer who has performed the target action is not in this database, their data will be uploaded here.

**Step 4.** If you need to block reactivation of the triggers, set the interval after which the trigger will activate again. By default, the interval is 30 minutes (i.e. if a user visits a page with a pixel several times within 30 minutes, the pixel will work only once).

**Step 5.** Allow data import on the pixel.

In this case, when the pixel is triggered, the data of the user who has just visited the page will be transferred to the platform. If the same customer data already exists in the database, the platform will add the information collected by the pixel to their profile. If the customer is not in the database, the platform will create a new profile.

- HTML pixels (image and link redirect) use cookies to search for a profile. If a profile with known cookies (for instance, a user opened an email from the same device) is not found, a new anonymous profile will be created.
- JavaScript pixels can use both session data and profile data in the platform. If a profile is found, data will be automatically updated. If it is not, a new profile will be added with the data you specify.
 
**Step 6.** Allow a redirect via pixel.

In this case, if a user visits a website page with your pixel, they will be redirected to the URL you specified:

Using a redirect link, an attacker can send a phishing email containing a malicious website in redirect_url. To prevent this, a redirect via pixel is disabled in the platform.
When you activate the option, a text field will appear on the screen. You can enter a list of domains that you want to redirect there. After that, in messages using this pixel, a redirect will be available only to the domains specified in the list. A redirect to other domains will be prohibited.
A redirect is only available if you add a pixel to your website («Clickthrough»).

**Step 7.** Save the settings by clicking the button in the upper right corner. Then you will get your pixel code.

**Step 8.** Open the pixel code by clicking «Show pixel code»:

Select a pixel type that you need for your marketing goals:

- **Show a page** — JavaScript to insert into the website code. It supports triggering when scrolling the page and waiting time.

To avoid triggering a pixel when random people visit the page, add waiting time. For example, if you set a waiting time of 20 seconds and the user leaves the page earlier, the pixel will not be triggered.
Another way to avoid random website visitors is to enable the «Activate after scrolling» option. In this case, the pixel will be triggered only when the user scrolls through the page.

- **Show a page (No JS)** — transparent image uploaded from the tracking server. It can be applied to both a website and messages, JavaScript is not required.
- **Click a link (No JS)** — a redirect to link tracking. It can be applied to any links, JavaScript is not required. It can be used in social media and external resources.
 
**Step 9.** Set a goal and specify its value:

Goal is a target action. You can select one or more goals for each pixel and set your values for each goal. If a customer performs a specified action, information about it is transmitted to the platform along with the value.

Here are some examples of these actions: sale, interest, request. Their values can be expressed in points or cost. For example, the action is «Product purchase», and its value is 2000.

**Step 10.** Copy the pixel code and submit it and the instructions to developers. They will add the code to the pages where you want to track user activity.

## What is a promo code

**A promotional code** is a combination of symbols that a customer can activate to receive a discount, free product, or other bonus.

The Altcraft Platform loyalty program allows you to create personal or universal promo codes. These promotional codes can be used in various customer loyalty management mechanics.

A **personal promotional code** is linked to the profile of a particular customer to provide personal promotions, discounts, offers.

A **universal promotional** code can be linked to multiple customer profiles. Such codes are used if you organize mass promotions with conditions common to all customers.

## Where to use promo code

### In message templates

Let's say you want to reward loyal customers with a 15% discount on all products. To do this, you need to create a template, and then send emails to customers with a promo code.

1. Create a promo code. Enter "**loyal**" as the short name.

2. Create a message template. 

3. Personalize the message by adding a personal promotional code for each subscriber. To do this, open the variable menu **</>** and select a promo code with the name “**loyal**”. Another way is to enter the variable manually: {loyalty.**name**.promocode}:

What is a Customer Loyalty Program in Altcraft Platform

A promo code system is used for loyalty programs in the Altcraft Platform. In this article we will tell you how to create one.

In the main menu, select «**Loyalty**», and then click «**Create**» on the top toolbar.

## Step 1. General settings

1. Enter the name of the program and briefly describe it. Set access groups.

2. Specify a short name for a promo code

You can send your promo code to the customer in an email, SMS message or push notification. In most cases, each subscriber has their own promo code, so it will be difficult to type it in each email manually. To avoid doing this, just use a variable in the template editor.

You must specify the name of the variable at the stage of creating a promo code — enter any word in the «Template name» field. Don't use a space, if you need to separate words, enter an underscore.

To add a variable to the email template, go to the message editor and click on the **</>** icon. Select the «Promo code» section, and then find the desired variable.

Another way to add a promo code to your email is to enter **{loyalty.name.promocode}** manually, where «name» is the template name:

3. Set the validity period

Specify the period during which you are allowed to create and send promo codes in newsletters or using scenarios. Set the date range and click «Apply»:

Even if the validity period has ended, the customer will still be able to use the promo code already sent. However, you won't be able to create and send new promo codes using this loyalty program.

## Step 2. Select a way to create promo codes

If you don't have a ready-made file with promo codes, you can create them in the platform. You have two options:

- Generate promo codes in the platform using a template;
- Make a request to a remote service that will create a promo code on your side.

**1. Generate using a template**

Click on the </> and select a unique combination of characters in the drop-down list. You can add your own characters to the template.

For example, the combination **{string 4}-{number 4}-{upstring 4}** will create the following promo code: **smFg-2497-DMPB**.

**2. Use a remote service**

To make a request to an external service, specify the URL of this service and the maximum number of promo codes in one request.

The POST request with JSON data is used, the format is strictly defined.

## Step 3. Set up promo codes

Configure the loyalty program for your business logic in the «Promo code settings» section:

The lifetime of a promo code may be longer than the validity period of the loyalty program. When the loyalty program expires, a promo code cannot be sent to customers. However, if you have already sent the promo code to your customer, they will be able to use it until it expires (lifetime).

Save changes to start generating promo codes. Once you've saved them, you will see the generation, import, export and view buttons:

## Step 4. Generate promo codes

Click on the «Generate» button to create promo codes using the template you specified above. You will see a new window. Specify the number of promo codes you want to create there. Enter the number and click «Generate»:

If you already have a file with a list of promo codes, you can add them to the loyalty program. Click on the «Import from file» button and upload a column file (in CSV or XLS format) with promo codes. Select a column with promo codes, and then start import using the button at the top of the page:

Click the «Browse» button to open a list of promo codes created in the loyalty program. You will see brief information about each one. Any promo code from the list can be deleted manually:

### Export to file

If you want to download information about promo codes, click on the «Export to file» button. You can download not only promo codes, but also data from the fields of those subscribers who received these promo codes. Select the fields from the drop-down menu and click OK. You will receive data in a CSV file:

Additional fields are requested during generation. They will be sent to an external service if it is used. If necessary, these fields can be saved to a promo code. If an external service returns fields with the same names, they will be updated in the promo code.

## What is a Click Map

A click map is a visual image of your email with an indication of unique clicks on each link. In simple terms, it shows you where subscribers clicks in your email. It helps you determine the quality of the template content and identify the most successful location and design of your links.

A click map is based on the [**message template**](https://altcraft.com/help-center/message-templates/how-to-create-a-message-template). If you use the template in several campaigns at once, the data will be summed up.

The map is available the moment you run your campaign, but it is better to analyze the data after a couple of days. Not all subscribers open emails immediately after delivery.

## Where to find a click map

Select «Analytics» in the main menu → «A click map».

First, select a message template for which you want to see the map.

If you have changed the message, for instance, for different campaigns, then a list of all dates will be displayed in the «Date period» field. Select the necessary version:

You can also upload a click report in MS Excel and CSV formats to your device.

When you choose a template and a version, a heat map will be compiled. There will be marked the percentages of clicks on links in the email:

1. If you notice that your customers always click on the images, add more images to the template.
2. If there are almost no clicks on some link, delete or replace it. Your subscribers may not be interested in this information.

What is a click map

It is a team of marketers that works on the platform, not just one person. All of the company's employees work within a single account. By default, there is only one user per account. But you can add a new user to your account in order to differentiate the work of employees in the platform. In this piece, you will learn how to create a new platform user and configure access for them.

## How to create a new platform user

Select «**Settings**» in the main menu and then go to «**Users**». A list of all users working in this platform account will open. To add a new user, click on the «**Create**» button in the top bar:

You will be redirected to the user editor. There are four sections in the settings:

- basic profile settings;
- notifications;
- security;
- access.

### Basic user settings

First, enter a login. The user will use it to sign in the platform. Login will be generated from these characters, then the symbol @ and the account name. For example, if you work in the *ak* account and enter «*john.doe*» in the login field, then your colleague will have to enter «*john.doe@ak*» to log in to the platform.

Next, you need to add:

- user’s first and last name,
- contact email,
- interface language.

### Security settings

A password for a new user is generated automatically. If it does not satisfy you, enter your password. Please note that your password must contain from 8 to 32 characters, including numbers and special characters.

Even if you are satisfied with the generated password, please edit it (e.g. add 0 at the end). This will activate the «Send an access email to a user» field. Check the box. As soon as you save the user, they will receive an email with login details.

Activate the «Send login details to user» option — as soon as you save the user, the platform will send login details to the user's contact email. For security purposes, you can also require a new user to change the generated password on first login.

### Notification settings

Decide which platform notifications you want to receive by email. Specify the email address to which you want to send notifications and select message types:

- **Account limitations reached.** If there are limits in your account plan, you will receive a notification that the number of sent messages has reached the maximum.
- **Email complaints.** A complaint is fixed if a newsletter recipient marked an email as spam. A notification will be sent when the complaints rate in the platform exceeds 0.07.
- **Hard bounces.** It is fixed if emails does not reach the recipient because of some error in their name or domain. A notification will be sent when the rate exceeds 0.05.
- **Soft bounces.** It it fixed if emails does not reach the recipient because of temporary problems on the server or lack of storage space in the recipient’s mailbox. A notification will be sent when the rate exceeds 10.

You can also set the frequency of sending data from the summary report: every day or once a week (Monday).

### Access

Here you restrict user access to some functionality of the platform. You can do it by adding groups and roles. Groups restrict user access to platform objects (databases, resources, templates, scenarios, etc.). Roles determine allowed user actions within a certain group.

A new user can log in to the account only if their account is **active**. Besides, you must set at least one role and one group for this user.

Here you can also create a **master user**. This user has access to all actions in the main group of the account and, therefore, to all objects of all groups. Role restrictions will not apply in this case. Master users have access to «Settings» in the platform main menu and can change access of other users.

## What is two-factor authentication

Two-factor authentication, or 2FA, is a means of protecting your account not only by entering your username and password, but also using a code that nobody but you know. To authenticate, you need a one-time code generator application, such as ***Google Authenticator***. Once 2FA is activated, entering a six-digit code becomes a must every time you log in to the platform.

## How to configure 2FA


The platform administrator has the option to activate obligatory 2FA for all users' accounts. In this case, when attempting to log in users see instructions on how to do it.


However, two-factor authentication is not required by default on Altcraft platform. Any user can set it up if they want to. Below we'll tell you how to do this.


- **Step 1:** Go to your profile settings. To do this, click on your avatar in the upper right corner. Then go to ***My profile***.

- **Step 2.** Click the ***Security*** tab. In the ***Two-factor Authentication*** block, click ***Connect***:

- **Step 3.** Instructions for connecting will open. Follow the steps in it: download the app, add Altcraft Marketing to it by scanning the QR code, and enter the resulting 6-digit code. Then click ***Connect*** again.

- **Step 4.** A list of backup codes will appear on the page. You may need them if you lose the device on which the 2FA application is installed. You won't be able to see this list on the platform in the future, so copy it and keep it in an easy-to-access place. Each backup code can only be used once.


The 2FA configuration is now complete. From now on, each time a user logs in to the platform, not only their username and password, but also a 6-digit code from the authentication application will be required.

If the user enters the wrong digit code from the app while logging in, you will receive an email with data about the failed login attempt. The form consists of three or four fields: name, contact details of the client (email or phone) and a field for the question that interests them.

**2. Sign up form or subscription form**

The subscription form invites visitors to leave their email address so that they can receive future email newsletters on topics of interest to them. 

The sign up form allows you to collect applications for any event. For example, a website visitor sees a webinar registration form and leaves their email. You can then tell the customer about the event programme and send a link to the webinar through this channel.

The main purpose of such forms is to expand your contact list. The simplest form consists of 2-3 fields: name, email address and a field for consent to personal data processing. However, if you want to personalize your communication with new subscribers, add a few more fields and ask additional questions to get more information.

**3. Survey or review**

Ask existing customers to take a survey or write a review. The answers you receive will help you assess the quality of your product or service, as well as segment customers by interest.

## How to create a web form in Altcraft Platform

Creating a form consists of five steps. Below we briefly describe each of them. You can find a full guide on how to create a web form at this link.

To get started, open the **Forms** section from the main menu.

**Step 1. Set up general settings**

Enter the form name and description; set access groups and tags. Activate the form by clicking on the "**Published**" toggle. Specify the start and end dates of publication, if required. Set up the final page. This is the page the user will see after filling in the form. Add your styles to the web form using HTML and CSS code. 

**Step 2. Add pages and fields to your form**

Go to the "**Constuctor**" tab and create the first page of the form. If the form is long, create several pages to break the questions down into meaningful blocks. Add fields to pages: email, phone number, short or long text, single or multiple choice, range, and more.

**Step 3. Design your form**

Go to the "**Appearance**" tab and style the form using the options built into the constructor. Edit the color scheme, change the font family and size, add icons to the buttons. All changes will be displayed in the window on the right.

Then **apply** your changes to open the "**Actions**" and "**Share**" tabs.

**Step 4. Set up actions after successful form submission**

In the "**Actions**" tab, select what you want to do after the user has successfully submitted the form:

- **Profiles import.** Upload the data of the customers who filled out the form into the database. You can either upload the data of new customers or update the information about those who are already in the database. If the form has fields for collecting additional information (client preference, position, education, etc.), map columns. This way, you can save the received information in the platform and use it for personalization in the future.
- **Sending the form to email.** Turn on email notifications to stay up to date on new form submissions.

Don't forget to save the form.

**Step 5. Publish the form**

The last thing left is to share the form with subscribers and site visitors. You can do this in two ways:

- **Via link.** It is a great option if you are new to marketing or don't want to bother the development team. In this case, we will publish the form automatically, and you will only have to copy the generated URL and send it to your subscribers through email channel.
- **Via script.** Copy the generated code and add it to one of the pages of your website.

**Step 6. Analyze responses**

Form analytics is available under "**Analytics**" → "**Forms**". Here you can see how many times the form was opened, how many times it was filled out, and how often users closed the page without filling the form out.

Forms and surveys: what they are and how to work with them

Forms in **Altcraft Platform** can be configured so that some fields are visible only if the user gives a certain answer to a previous question. This mechanism comes in handy when, for example, you want to get more information why a person answers a certain way.

Let's suppose we're running a survey to rate the quality of a product. The form has a box with a scale from 1 to 10. If the person gives a low score, we need to find out what exactly went wrong. To do this, we will add another field - long text. However, this element is hidden. The user will only see it if he gives a score lower than 5.

**Additional fields can be displayed after the elements:**

- Short text

- Number

- Yes/No

- One choice

- Multiple choice

- Drop-down list

- Date

- Range

## Sequence of actions

1. When creating the form, click the **Constructor** tab. Add a **Range** element. Specify a title, which is the text that the user will see above the field. If you want, set the default value and select the range type:

2. Set the condition for the item by clicking the **Add a condition** button. It was agreed that the next field appears if the selected value is less than 5.

3. Right after the field with the condition, on the same page, add a new element. In this case, it is **Long text**. Set the title and activate the **Hidden form element** option.

Now if the user selects a certain answer choice, he sees a hidden element and can fill it in. Otherwise, the user proceeds to the next question.

Forms can be configured so that some fields are visible only if the user gives a certain answer to a previous question. This mechanism comes in handy when, for example, you want to get more information why a person answers a certain way.

Conditional logic: how to set up a display of questions based on answers

The survey on **Altcraft Platform** can be configured so that after answering a question, the user sees certain fields on the form. Such configuration is possible by adding conditions.


In the forms, the conditions can be simple or complex. With [**the simple conditional logic**](https://altcraft.com/help-center/forms-and-surveys/conditional-logic-how-to-set-up-a-display-of-questions-based-on-answers), you can show a respondent one follow-up question. With a complex condition, you can show a respondent an entire section of follow-up questions on a separate page.

Here are several examples of appropriate usage of complex conditions in **Altcraft Platform** forms.


**Case 1.** A company conducts an NPS survey to find out how satisfied customers are. There are two ways to do this:

1. The respondent scores the service higher than average. In this case, the company thanks them for their high score, offers to choose what exactly they rate most highly, and asks them to tell you what could be improved.

2. The respondent scores the service below average. This is where the company finds out the reasons for dissatisfaction and asks for advice on how to make things better.

**Case 2.** An online course platform adds a survey to the welcome email to further personalize the content. The first question determines the potential customer's area of interest: Web design or Digital marketing. Depending on what the respondent chooses, they are redirected to a particular page. The questions on both pages are of one kind:

1. Are you planning to further take up one of our online courses?

2. Would you like to attend our upcoming webinars?


Although the answers vary depending on what a user chose in the first question.

So, let’s find out how to redirect a user onto a certain page of the form depending on the answer.


## Stage 1. Figure out the logic


Work out the sequence of switching from one page to another. To do it, think of the answers to the questions:

1. How many pages are there in the form?

2. What pages should be displayed to all the respondents, and what pages should be displayed only to those who met a certain condition?

3. Depending on what condition a particular page is displayed?

4. What field contains the condition for switching to a certain page?


The condition can be added only to those fields that require the user’s choice: 

- Yes/No

- One choice

- Multiple choice

- Range



## Stage 2. Add the pages and the surveys to the form


Now you can proceed to working on the platform. Create a new form and configure its general settings. Then switch to the **Constructor** tab. Add pages and fields for each of them. 


Keep in mind that depending on the user’s answer a certain page, not an additional field on the same page is viewed. That’s why you should create a page for general questions and other pages for specified questions.


Let’s have a closer look at the example of the second case (the online course). At the first page we’ll ask a single question about the sphere a person is interested in. We should create a page and add **One choice** element on it.

Let’s add another page that will be viewed to those users who chose *English language*. Then add **Multiple choice** element to view it to the users who chose *English language* and add the multiple choice options there.

And finally let’s add the third page for those who chose *Digital marketing*. As the elements are the same, you can just copy the previous page and edit the text in the *options* boxes.

## Stage 3. Enable the logic

Save the form by clicking the **Apply** button. Then go to the **Logic** tab and switch the **Enable** button on the right side to activate the complex logic. The editor will be viewed:

Each block is a separate page. The lines between them show the sequence of a user's transition between pages. Тow it is a linear sequence, i.e. the user will go through all the pages one by one. This approach isn't appropriate in our case.

Let's remove all the logical connections. To do this, place the cursor on the line and click on the cross that appears:

Now let's organize the logic of our own. For convenience, first arrange the blocks in the right order. To do this, left-click and move the block.

## Stage 4. Add the condition

To add a condition to the form, click the + icon on the left and select **Condition**. A diamond appears in the editor. You can move it, too, to a visually convenient place:

Right-click on the diamond, and on the right  the window opens, where you can configure the condition. Click the **Add condition** button. Select the field with the question, the answer to which determines the transition to the required page.

## Stage 5. Configure the connection between the blocks


All that's required now is to tie up the form pages in the proper sequence. To do this, click the icon on the border of the block and draw a line to the page you want the user to go to.

The gray line links the switch between pages without conditions. The green line is the transition if the user's answer meets the condition. The red one is if the condition is not met.


## Stage 6. Check the logic of transmission


We should make sure that the form works as intended. To do that, you'll need to open a preview of the form. You can do this in two ways: click on the preview icon on the top panel or go to the **Appearance** tab.


The preview is interactive, i.e. you can click on the answer choices and enter your values. Take the survey several times to test every possible customer behavior.

If everything is configured correctly, save the form. You can then publish the form and embed it on the site page or send a newsletter email with a link to the form.


The survey can be configured so that after answering a question, the user sees certain fields on the form. Such configuration is possible by adding conditions.

## How does integration with Yandex.Audience work

[**Yandex.Audience**](https://audience.yandex.com/) allows you to launch advertising campaigns that are targeted at the right group of customers. To do this, you need to create a segment based on data from your customer database. Altcraft Platform also works with segments, so it won't take long to transfer customer data from the platform to Yandex.Audience.

You upload data from the platform segments to the Yandex service. Then the service automatically compares received information with the data it already has and finds matches. As a result, you get a ready-made segment for targeting.

## How to set up integration

### Step 1. Configure a connection

Altcraft Platform interacts with Yandex.Audience via Yandex.OAuth. It means that you need to set up a connection to this service. Use this [**step-by-step guide**](https://docs.altcraft.com/display/UD/Connection+to+Yandex.Audience).

### Step 2. Add an integration

Select the «**Integration**» section in the main menu and select Yandex.Audience type of integration. Then click «**Create**» at the top of the page.

### Step 3. General settings

Enter the name and description of the integration in the tab «General settings». Activate the integration by clicking a toggle switch in the right corner:

### Step 4. Select the type of data to be uploaded from the platform

- **CRM data**: emails and phone numbers.
- **Mobile device IDs**: you can find this data in profile subscriptions. Yandex.Audience is compatible with AppMetrica with Google AID and AppMetrica with iOS IFA.
- **MAC addresses**.

### Step 5. Select target audience

Limit the audience whose data you want to upload to the Yandex service by specifying the [**customer database**](https://altcraft.com/help-center/get-started/how-to-create-a-customer-database) and segments:

### Step 6. Select Yandex.Audience connection

### Step 8. Keep track of synchronization statistics

You can find information about the number of successful operations in the section «Sync statistics». Namely, how many:

- profiles were imported
- profiles were deleted
- segments were imported
- segments were deleted

By clicking «Start resync» you can update segment data in Yandex.Audience:

How to set up integration with Yandex.Audience

As Google is a huge corporation used worldwide, you can significantly expand your audience via services provided by them: Google Search, YouTube еtc. To launch your advertising campaign, Google Ads comes handy. Being the [**Altcraft Platform**](https://altcraft.com/en) ’s client, you can configure the platform so that Google Ads are integrated into your Altcraft account. First of all, you should configure your Google settings. 

## Step 1. Create connections

To start with, log in to your Altcraft account, and then go to **Settings** – **Connections** on the dashboard.

On this stage you are offered to choose the service you are going to further integrate with Altcraft Platform. Select Google Ads pressing on the appropriate button.

Then click “Create” on top of the page.

The platform offers you to insert the name and description of your new connection.

Below the general settings there is another box requiring to fill out such fields:

- Application id;

- Secret;

- Token.

Where to get these parameters? Now proceed to Google services, please.



## Step 2. Work with Google Ads

To find out **Application id** and **Secret**, you should go to **Google Cloud**.
To find out **Token**, go to **Google Ads** with your manager account. 

But let’s consider it thoroughly and consistently. 

1. Create an account on *@gmail.com* domain or log in, if you already have one. 

2. Go to [**Google Clouds**](https://console.cloud.google.com) and register there. Then create a project and go to APIs & Services – Credentials, as in the picture below.

3. Select the type **Web application** and name it.

4. You’ve succeeded in creating an OAuth client. Now you view the window with the credentials required. Copy and save them to later insert them into appropriate fields in Altcraft Platform.

5. Next, proceed to the page where you can [**create a manager account**](https://ads.google.com/intl/en/home/tools/manager-accounts/). Follow all the necessary instructions to make it.

6. Now your way is **Tools & Settings** – **API Center**.

7. Find your developer token here and copy it to then paste into the proper field of Altcraft Platform.

## Step 3. Complete configuring the connections

Now go back to Altcraft Platform and finish with the connections. Now you know where to get the three parameters required. So, fill them in.

Then press the **Apply** button on top:

After doing this, another button **“Connect”** appears on the gray field:

After clicking it you’re suggested to select Google account:

Now, having saved all the settings, you can see the status of your connections near each of them after clicking on **Settings – Connections**, as in the beginning. For instance, in this case the connection is pending:

### The possible statuses of connections:

- **Ready to work**: the connection has been successfully configured and can be used to upload static segments to Google Ads.
<p>


- **Error on init**: an attempt to set up a connection failed.
<p>


- **Error**: an error occurred while working with the API that requires reconnection. In this case, you need to make sure that the user has access rights.
<p>


- **Connecting**: connection in progress. A possible reason is that when you set up the connection, you did not log in to Google and did not grant rights.
<p>


- **Connected**: the connection is not fully configured, additional steps are required. For example, you need to select a Google account.

You have enabled the connection and now you can use the data you work with on Altcraft Platform in Google Ads. 

## Step 4. Create integrations


Go to **“Integrations”** from the general menu on the left. Choose Google.Audience to integrate.

Then the page opens where you can create new integrations and manage the existing ones. Click on **“Create”** on top.

You’ve made a new one, and you’re offered to name and describe it in the **General settings** box.

Below there is another box where you set integration up. You select and specify:

- the type of data that you want to upload from the platform;

- database;

- connection.

Also you choose which segments exactly you want to synchronize with Google Ads. You can specify a certain segment or several of them; to do it, you should choose synchronization of some segments, as in the picture below.

Or else, you can select all the segments, or segments sorted out by tags or access groups.

### Integration schedule

Decide how often you wish the data from the segment to be updated. Then choose the necessary frequency from the drop-down list:

- every day at specific time;

- every day, several times a day;

- on specific date at specific time;

- in particular months on particular weekdays at specific time;

- in particular months on particular month days at specific time;

- on specific date several times a day;

- in particular months on particular weekdays several times a day;

- in particular months on particular month several times a day;

- weekday relative to the beginning of the month.

After it, configure the time-table. You can also optionally set the deactivation date and time of your integration.

Don’t forget to save the integration – and now the deed is done!
You can find all the information on the bottom of the page including the diagram of auditories, errors occurring during uploading, etc.
